| Step 2 - Submit all clearances and a headshot
Per Pennsylvania law, it is required that all persons having direct contact with school children obtain background checks and clearances. In the best interest of the safety and security of our students, Hatboro-Horsham School District requires the submission of these clearances before volunteering.
To volunteer within the Hatboro-Horsham School District, all clearances must be within one year of the submission date. All clearances are valid for five years once you complete the volunteer process. Please note that it can take up to two to three weeks for volunteers to be fully processed.

Once you have obtained your clearances and a headshot, please send them directly to Volunteers@hatboro-horsham.org.
| Step 3- Approve all your clearances
Please allow 48-72 hours for a HR representative to reply. Please be advised that response times may increase during peak season.
- There are several peak times during the school year: the beginning of the school year, springtime, holiday parties, annual school events, and the end of the school year.
- To reduce the turnaround time, it would be greatly appreciated if you could complete the volunteer process early during the school year.
| Step 4- Your badge is ready for pick up!
You can pick up the badge at the HR Modular located next to the Administration building.

- If you don’t come to pick it up for a while (over 2-3 weeks), we will mail it to your volunteer school. (We will not send it to the address you provided.)

My current badge has expired. What should I do?
To renew your badge, please send us an email. Make sure to include all your updated clearances and attach a headshot.
What should I do if my badge is unclear, missing, or damaged?
If your badge is unclear, missing, or damaged, please send us an email. Include your name and the name of your volunteer school so that we can create a new badge for you.
I'm facing challenges applying for the clearances. What should I do?

Can my badge application be expedited if I have an urgent need?
Due to the high volume of volunteer applicants during peak times, we encourage you to submit your application and apply for all clearances well in advance. If you have an urgent situation, please inform us of the date of your planned volunteer activity and ensure you send all the required materials. We'll do our best to assist.
I sent my clearances but haven't received a response. What should I do?
Please allow us 48-72 hours to reply to your email. If you haven't heard from us within a week, feel free to send us another email.
I received an email stating that I can pick up my badge, but I'm having trouble doing so. Can you mail it to my address?
If you're unable to pick up your badge within 2-3 weeks, we will send it to your volunteer school. We'll notify you via email before sending it to the school.
I received an email stating that the badge machine is not working. Can I still volunteer without the badge?
If your volunteer status has been approved, we will add your name to the volunteer list, allowing you to volunteer without the badge. We'll notify you when your badge is ready. If you haven't received any updates from us after a month, please send us an email.
If I submit the application, does that mean I've completed the entire process?
No, submitting the application is just the first step. You must also email us all the required materials to complete the process.

During the school year, we will have two volunteer processing events, one in April and one in October. The event dates/times will be posted on this page for you to view ahead of time. If you attend one of our processing events, please make sure you bring all the necessary clearances.
